Is the EMR really free? What's the catch?

The free tier is for new practices that do not need a data migration. It includes the complete EMR, every AI feature and AI-powered support for your first provider — no credit card, no trial clock and no feature gating. Fair-use limits on storage and AI volume apply and are published in your account. Paid plans include dedicated support, an uptime commitment and a free one-time data migration.

What exactly is the $200?

It is a single organization-wide monthly floor. In any month you use Hero's payment collections or route insurance billing through the platform, you pay the greater of your collections-based fee or $200 — not both. It is charged once for the whole practice, not once per service and not once per provider, and it applies even in a month where nothing is collected.

How are the collections fees calculated?

2.5% of insurance collections attributable to claims billed through Hero, plus 1% of cash, card and self-pay collections processed through Hero. Both are calculated on amounts actually collected — never on billed or charged amounts — and are net of documented refunds, recoupments, reversals and chargebacks. If money is later refunded or recouped, we credit the related fee on a subsequent invoice. For comparison, full-service billing companies typically charge 5–7% of collections.

What is the ramp-up discount?

A new or migrating practice collects nothing on day one, so the $200 floor is discounted while you are setting up and building your schedule. It steps up to the standard floor in the month you schedule or see your first patient, and the percentage fees do not apply during the discounted period. The exact ramp-up rate and trigger are set out in your agreement.

How much do phone services cost?

Phone services are billed separately from every tier, including the free one. The AI phone agent and its underlying telephony — phone number, voice minutes, transcription, text-to-speech and language model usage — are passed through at our direct vendor cost with no markup, typically $3–$5 per hour of call time. Charges are metered by usage and invoiced monthly in arrears.

Do I really get a free website?

Yes, on any paid plan. We design, build and host a custom practice website at no additional cost, and you own it. It is not part of the $0 tier — it comes bundled once you turn on payment collections or insurance billing.

Are there any long-term contracts?

No. Hero EMR is month-to-month with a thirty-day termination right. Our own rates are protected against increases for twenty-four months, but that is a price guarantee, not a minimum, fixed or initial subscription term. You stay because it works, not because of a contract.

What about additional providers?

Your first billable provider is always $0. Each additional billable provider beyond the first is $200 per month, prorated for the month they are activated or deactivated. Every provider gets the identical full-featured experience — whether they are your first or your fiftieth.

Yes, if you are starting a new practice and do not need a data migration. The free tier includes the complete EMR, every AI feature and AI-powered support, subject to fair-use limits on storage and AI volume that are published in your account. Practices that need to migrate existing data should choose a paid plan, which includes a free one-time data migration and dedicated support.
